1. Overview & Nature of the App

This Privacy Policy explains how Rhythm Labs Pty Ltd (ABN 20 677 653 637) collects, uses, and safeguards personal information through the Staaage Access mobile application for iOS and Android.

Important Notice: Staaage Access is a free operational companion application provided to event participants, crew, artists, volunteers, contractors, and vendors. The app contains no digital purchases, no paid subscriptions, no paywalled content, and no financial transactions. Access to the mobile application is provided free of charge to registered event participants.

2. Information We Collect

The Staaage Access mobile application collects only the operational information necessary to facilitate event accreditation, credential verification, site access, and team coordination:

2.1 Participant Account & Identity Details

• Full name, email address, and mobile phone number
• Participant role (e.g. Artist, Volunteer, Production Crew, Vendor Representative)
• Emergency contact name and contact number
• Profile avatar or identification photo (for credential verification)

2.2 Event Onboarding & Advancing Documentation

Depending on the requirements set by the event organiser, participants may upload documents required for event compliance:

• Safety induction completions and acknowledgements
• Public liability insurance or certification documents (where applicable for contractors)
• Digital signature confirming receipt of site rules and agreements

2.3 On-Site Operational Data

• Assigned shift times, performance schedules, or stage call times
• Gate check-in and zone credential scans (via secure QR code)
• Direct operational messaging between the participant and event management

2.4 Device & Diagnostic Information

• Device model, operating system version, and app performance logs
• Push notification device tokens (used solely to deliver urgent event alerts and shift notifications via Apple Push Notification Service / Firebase)

3. How We Use Information

Information processed through the app is used exclusively for event coordination, safety, and logistical purposes:

• Displaying your digital event credential and access pass
• Presenting your personal roster, call times, and shift schedule
• Delivering critical event safety announcements, updates, and schedule changes
• Validating site inductions and compliance status at check-in points
• Enabling direct communication with event coordinators

We do not track users across third-party apps or websites, and we do not sell, rent, or trade participant data to data brokers, advertisers, or third-party marketing services.

4. Data Storage and Third-Party Infrastructure

All data is encrypted in transit (using TLS 1.3/1.2) and encrypted at rest (using AES-256). Data is hosted securely on Google Cloud Platform and Firebase infrastructure in Australia.

Participant information is shared solely with:

• The Event Organiser: The specific event management team that registered or approved the participant for their event.
• Infrastructure Service Providers: Google Cloud Platform (data hosting), Firebase Authentication (secure account authentication), and Apple Push Notification Service (delivering operational alerts).

5. Account and Data Deletion

Participants have the right to access, export, or request deletion of their personal information at any time. You can request account and data removal directly by contacting privacy@staaage.com or visiting our online data removal request portal at staaage.com/data-removal.
